Heating Oil Delivery for Multi-Family Buildings in NYC

For supers and property managers, summer is planning season. With the boiler quiet and October still a few months out, you have room to think ahead. June is the right time to get multi-family heating oil delivery squared away for every building you manage.

NYC Heat Season Starts October 1

New York City's heat season runs from October 1 through May 31. During that window, residential building owners must keep apartments at minimum temperatures based on the time of day and the weather outside. Running low on oil during a cold night can quickly lead to tenant complaints and possible violations.

What Makes Multi-Family Heating Oil Delivery Different

Apartment buildings come with delivery challenges that single-family homes rarely face. Fill pipes may sit behind locked gates or at the back of a courtyard. The street out front may have no legal place for a truck to stop. The person who places the order is often not the person on site when the truck arrives.

Here is how Pinstripe Fuel Oil handles those realities:

• We coordinate with supers and doormen to set access windows that work for the building.
• Driver notes stay on file, so repeat deliveries follow the same plan every time.
• Hose runs are secured to keep sidewalks and entryways safe for residents.
• Fill points are verified on every delivery.
• Routes are planned around NYC traffic and weather.

Billing Built for Property Teams

Paperwork multiplies fast when you oversee oil for several addresses. Pinstripe offers portfolio invoicing with PO support, and consolidated billing is available so your accounting team isn't chasing separate receipts for every building. Digital receipts go out after each delivery, and hard copies can be left on site if your super prefers them.

A Summer Checklist for Property Managers

1. Confirm tank sizes for each building and record current levels.
2. Update access details, including gate codes and your super's contact number.
3. Clear the path to every fill pipe and make sure caps are visible and easy to identify.
4. Book boiler service with your heating contractor before October.
5. Set up a delivery plan with your oil company so no building runs low after the first cold snap.
6. Decide how you want invoices handled across your portfolio.

Why Summer Setup Pays Off

Oil companies get busy fast once temperatures drop. When your buildings are set up in summer, access notes and billing preferences are already on file before the first chilly night. A first-time call in October means starting that process during the busiest weeks of the year.
